Pfizer Migraine Study – Project Privacy Notice

1. ABOUT THIS STUDY

Studio Health is conducting a research study on behalf of Pfizer to better understand how migraine affects people in the workplace and to explore whether education can improve awareness and understanding of the condition.

The study is open to Pfizer employees in the United States. You do not need to have migraine to take part.

Participation may include:

  • Completing up to three online surveys
  • Attending a workplace education programme called Migraine Fitness at Work
  • Taking part in one-to-one interviews

The purpose of the study is to understand how migraine impacts the workplace, how much employees know about the condition, and what improvements could be made to support people affected by migraine.

Your participation is entirely voluntary. Your decision to take part or not take part will not affect your employment in any way.

This Project Privacy Notice explains how Studio Health uses your personal data for this study. It should be read alongside the Study Informed Consent Document (ICD).

2. WHO WE ARE

Studio Health (ICO Registration Number ZB019722) is responsible for collecting and using personal data for this study.

Pfizer is the study sponsor and is separately responsible for the information it receives and uses in connection with the study.

3. WHAT INFORMATION WE COLLECT

As part of this study, we may collect the following information:

  • Your contact details (name and work email address)
  • Demographic information (such as age range, gender and location)
  • Information about migraine and your health where relevant to the study
  • Your opinions, experiences and responses shared through surveys, interviews or discussion groups
  • Audio and/or video recordings where interviews are recorded
  • Information required to administer participant compensation where applicable
  • Any other information you choose to provide as part of the study

4. HOW WE USE YOUR INFORMATION

We use your information to:

  • Manage and administer the study
  • Assess eligibility and contact participants about study activities
  • Conduct surveys, interviews and educational activities
  • Analyse research findings and produce reports
  • Administer participant compensation where applicable
  • Meet legal, regulatory and contractual obligations

We will not use your information for marketing purposes or to make decisions about your employment.

Study findings, insights and outputs will be reported in aggregated or anonymised formats and will not identify individual participants. This may include sponsor reports, publications, conference materials and future research outputs.

5. LEGAL BASIS FOR PROCESSING

We process your personal data under the following lawful bases:

Article 6 UK GDPR

  • Consent – to collect and use information you provide as part of surveys, interviews and other research activities, and for any optional follow-up contact.
  • Legitimate Interests – to administer the study, maintain quality standards, prevent fraud, administer participant compensation payments, and fulfil our contractual obligations to the study sponsor.

Article 9 UK GDPR

  • Explicit Consent – where we process special category data, including information about your health.

Where consent is relied upon, you may withdraw your consent at any time by contacting us using the details above. Withdrawal will not affect processing already carried out. Please note that where data has already been anonymised or incorporated into aggregated research findings, it may not be possible to remove it following withdrawal.

6. WHO WE SHARE YOUR INFORMATION WITH

We share personal data only where necessary and with:

  • Pfizer (study sponsor) – aggregated findings reports from which you cannot be identified, and a pseudonymised study dataset at the end of the study
  • Survey platform providers (Qualtrics)
  • Transcription and analysis providers supporting the study (OtterAI, IBM SPSS, NVivo)
  • Cloud storage and collaboration providers (Dropbox and Microsoft 365)
  • GPAC/LearnUpon, where used to deliver the Migraine Fitness at Work learning programme
  • Members of the Studio Health research team and approved research partners supporting delivery of the study
  • Regulators or government bodies where required by law

We only share the minimum amount of personal data necessary for each purpose.

Some of these providers may process personal data outside the UK or European Economic Area (EEA), including in the United States. Where this occurs, appropriate safeguards will be implemented to protect your personal data.

7. HOW LONG WE KEEP YOUR INFORMATION

Studio Health will retain identifiable personal data collected as part of this study for no longer than six months after the study has ended.

Following this period, personal data will be anonymised so that it can no longer be linked to you. Once anonymised, the information is no longer considered personal data and may be retained and used for research purposes indefinitely.

At the end of the study, Studio Health will provide study data to Pfizer. Pfizer will retain the pseudonymised study dataset for up to 15 years to support research, regulatory and compliance requirements. After this period, Pfizer may anonymise the data and retain it for research purposes.

8. YOUR LEGAL RIGHTS

You have a number of rights in relation to your personal data, including the right to request:

  • Access to your personal data
  • Correction of inaccurate personal data
  • Erasure of personal data
  • Restriction of processing
  • Data portability
  • To object to processing in certain circumstances

Where we rely on consent to process your personal data, you also have the right to withdraw that consent at any time.

9. COMPLAINTS

If you have any concerns about how we collect and use your personal data, we encourage you to contact us in the first instance so that we can investigate and resolve your concern promptly.

We will acknowledge receipt of your complaint as soon as possible and no later than 30 days, and aim to respond within a reasonable timeframe in accordance with applicable data protection requirements.

We may update this Project Privacy Notice from time to time. The latest version will always be made available to participants through the study team or the Studio Health website.
